Administrative Project Coordinator

Role Description

As a Project Coordinator, you will play a critical role in ensuring operational efficiency and accountability across multiple teams. This position focuses heavily on follow-ups, communication, and coordination—acting as the bridge between departments to ensure projects and tasks are completed on time.

You will work directly with the Operations Manager and collaborate closely with assigned departments to track progress, maintain alignment, and ensure deadlines are met. This role requires strong attention to detail, proactive communication, and the ability to manage multiple priorities in a fast-paced environment.

This internship offers a unique opportunity to develop project management, organizational, and leadership skills while gaining exposure to business operations and cross-functional collaboration.

This program has been an incredibly valuable and enriching experience, offering hands-on exposure and real-world insights that are rarely available at this stage. One of the most unique aspects is the opportunity to be mentored directly by the CEO, gaining firsthand guidance, strategic perspective, and leadership insights that are invaluable for long-term growth. Importantly, this is the final session in which the program will be conducted, making it a truly exclusive opportunity that will not be repeated in the future.

Key Responsibilities

  • Conduct consistent follow-ups with team members across departments via Slack, meetings, and calls to ensure timely task completion.
  • Track project progress and maintain accountability for deadlines and deliverables.
  • Coordinate and schedule internal and weekly meetings for assigned departments.
  • Ensure full attendance and participation in all required meetings.
  • Take detailed notes during meetings, capturing assigned tasks, deadlines, and action items.
  • Maintain organized records of tasks and follow-ups for each team member.
  • Provide regular updates to the Operations Manager on project status and team performance.
  • Ensure full Slack availability for real-time communication and updates.
  • Identify delays or bottlenecks and proactively escalate issues when necessary.
  • Learn and adapt to constructive feedback through mentorship sessions led by leadership.

Qualifications

  • Currently pursuing or recently completed a degree in Business Administration, Human Resources, Communications, or a related field
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Comfortable managing multiple tasks and deadlines simultaneously
  • Proactive, accountable, and highly responsive
  • Experience with or willingness to learn Slack, Google Workspace, and scheduling tools
  • Ability to work in a fast-paced, team-oriented environment
  • Must be highly reliable and consistent with follow-ups

Internship Details:

  • Our flexible internship program is centered on mentorship, innovation, and project-based learning, empowering interns to gain valuable experience in a dynamic professional environment.
  • All applicants MUST be a university senior or above.
  • We are a Canadian-based company.
  • All positions are remote.
  • We require mandatory meeting availability (depending on your role).
  • Work hours are based in MST (Mountain Standard Time).
